What Do I Need For My Party?

 

Nine Questions to Ask Yourself during the Party-Planning Process

The hardest aspect of party planning is making sure that you have all of your bases covered, have considered every eventuality, and ensured that you have everything that you need to make your party great. No matter what kind of party you are planning we have a list of considerations to make sure you have everything you need. When the day rolls around, the last thing you want to be doing is scrambling to get something that you forgot earlier in the process. Look over our list and make sure you are ready to go!

1. Do I need a tent?

While tents will not necessarily keep the rain off of your party, they will keep the sun and wind off of your guests. Are you planning an outdoor bash? Is it during the day, when sun might be an issue, or is it a night, when wind might threaten to blow you away? If so, a tent can help keep this weather off of your guests and from ruining your party. 2. Do I have enough tables?

Even if your party is centered around dancing or being up and mingling, at some point, people are going to want to sit down. Do you have enough tables and chairs so that everyone who wants to get off their feet can? Round or square, with tablecloths, or without, fancy or not, make sure you’ve got places for people to sit and to put their food.

3. Do I have the flatware, china, or glassware that I need?

Flatware is one of the most commonly forgotten party supplies and one of the most important. Your amazing food, whether you’ve made it yourself or gotten it from a caterer, will go to waste if you do not have enough flatware. Instead of guessing and hoping, it is always best to have twice as many cups, spoons, forks, knives, and plates than you think you will need. If you have leftovers, you can always save them for your next party!

4. Have I checked on my party rentals?

Call and confirm your rentals a few days before they need to be delivered and make sure you have an idea of where you want any tables, chairs, stages, etc. to be places before the delivery truck arrives. Knowing where you want things to go and having an organized plan makes the entire process much easier and much faster.

5. Do I have a large enough dance floor?

A great way to know what size of dance floor you need is by calculating how many couples you are likely to have dancing. Keep in mind that not everyone will dance, but you do want enough space that everyone can dance, if they want. For every couple dancing, you will want three square feet of floor. Take your guest list and calculate how large of a floor you will need using this rule of thumb.

6. Do I have space for the catering station or DJ station?

Before renting your tent or your venue, make sure that your space calculations include caterers, stages, and DJ areas, if you need any of these for your party. These are often left out of the calculations, which can be a serious problem when it comes to setting up on the day of the party. If you do not know how much room your caterer, band, or DJ will need, touch base with them and ask what kind of space they will require.

7. What kind of bar do I want?

Are you going to have a bartender or is it going to be serve yourself? Does your venue already have a bar and all you need to do is provide your own alcohol and soft drinks? The best way to make sure that you have exactly what you need is to ask. If you need to set up a bar, make sure space for that bar is included into your space calculations above.

8. Do I want a cotton candy machine, slushie machine, hot dog machine, or popcorn machine at my party?

Any of these machines are great for just about any party, whether it be for graduation, a birthday, or just because it’s the weekend. All are a charming way to incorporate food into the party, especially if you do not want to spring for an expensive caterer, or if catered food is out of place with your theme. Some companies may require an attendant to make sure that the machine is used properly, but with simple machines, it is possible that they will simply drop it off. In this situation, make sure there is someone sober enough to ensure that the machine doesn’t have a meltdown.

9. Do I have enough decorations?

While you don’t want to go overboard, there is nothing worse than a sparsely decorated party. Even if your party doesn’t have a defined theme, there are plenty of ways to make the space look festive and fun, without pointing towards a specific theme. Paper lanterns and poofs are an inexpensive, yet classy way to add some life to a space, while streamers, banners, and wall hangings are also perfect for spicing up a room. It is always better, when it comes to decorations, to have more than enough, rather than not enough. You can always take some decorations down, but it’s difficult to put up more decorations if you don’t have any more!
